Google Ads Search Terms Report Guide: Turn Real Queries Into Better Campaign Decisions

Your keyword list shows what you chose to target. The Search Terms Report shows what people actually searched before your ads appeared. That difference is where some of the most useful Google Ads decisions come from: finding wasted spend, discovering high-intent queries, improving landing pages, refining ads, understanding match behavior and deciding where more budget deserves to go.

See real searchesUnderstand the language customers actually use.
Find wasteIdentify irrelevant intent before it consumes more budget.
Find opportunityDiscover terms worth promoting into keywords, ads or pages.
Improve relevanceUse query patterns to sharpen creative and landing pages.

What is the Google Ads Search Terms Report?

The Search Terms Report shows searches that triggered your ads and performance metrics associated with those searches. It helps advertisers understand how the searches people actually type differ from the keywords stored in the account.

Keyword ≠ search term. A keyword is an advertiser-defined targeting input. A search term is the actual query entered by a user. Because Google’s current matching systems consider meaning and intent, especially with broader match types, one keyword can match many different search terms.

Google says the report can help advertisers refine keyword match choices and can reveal ideas for new ad creative and landing-page content.

Keyword vs search term: a practical example

Account keyword Possible search term Business interpretation
website development website development company for restaurants Potentially strong commercial intent; may justify a vertical landing page if volume and lead quality support it.
website development website development course free Training/free intent; likely irrelevant for a service campaign.
website development affordable website developer near me Commercial local intent; review geography and conversion quality.
website development how does website development work Informational intent; may be useful for content, but not always appropriate for a lead-focused campaign.

The report is therefore not only a “negative keyword tool.” It is a record of how real demand reaches your campaign.

Why the report does not show every search

Google does not expose every individual query in the Search Terms Report. Current Google documentation says terms with insufficient query activity can be omitted to meet data-privacy standards.

This means the totals in visible search terms may not equal every impression, click or conversion associated with search traffic.

Do not treat omitted queries as missing campaign activity. Some low-volume searches are intentionally not shown individually. Google’s Search Terms Insights can group these lower-volume searches into categories/subcategories or “other queries” without revealing the individual query.

Search Terms Report vs Search Terms Insights

Search Terms Report Search Terms Insights
Main purpose Query-level performance for terms Google can show individually. Intent/category-level understanding across search demand.
Low-volume queries Some are omitted for privacy. Can be grouped into relevant subthemes or “other queries.”
Best use Negatives, keyword mining, query-level cost/conversion analysis. Understand broader demand categories and themes.
Conversion totals May differ slightly from Insights due to processing/conversion lag. Uses its own processing and grouping.

Google’s current Insights page groups search-term activity into categories and subcategories, helping advertisers see how audiences are searching even when not every underlying query is individually exposed.

Which Search Terms Report columns actually matter?

Search term

The real query or phrase exposed in the report.

Keyword

The account keyword that matched the query. Google notes this column may need to be added manually.

Match type

Shows how the search related to the keyword that triggered the ad.

Clicks & cost

Shows where traffic and budget are going.

Conversions

Useful only when conversion tracking reflects real business actions accurately.

Conversion value / cost

Important for ecommerce or value-based lead tracking.

Add other useful dimensions only when they help answer a real question. More columns do not automatically create better analysis.

A high-quality Search Terms analysis workflow

01
Choose a meaningful date range.

New campaigns may need frequent early review; mature campaigns often need enough time to account for conversion lag and avoid reacting to one-day noise.

02
Start with spend and conversion value.

Find the queries using meaningful budget before spending time on one-impression terms.

03
Classify search intent.

Separate strong commercial, comparison, local, informational, support, jobs, free/DIY, wrong-service and wrong-geography intent.

04
Compare query to landing page.

Ask whether the user arrived on the best possible page for that specific need.

05
Check real lead/customer quality.

Do not exclude a high-cost term solely because Google Ads reports few conversions if CRM or phone data tells a different story.

06
Decide: exclude, investigate, keep or expand.

Every significant query should lead to an explicit action—or a deliberate decision to wait for more data.

Use an Exclude / Investigate / Expand model

Exclude

Clearly irrelevant searches: jobs, unsupported services, wrong geography, training, free/DIY or unrelated meanings where the business cannot benefit.

Investigate

Relevant searches with weak conversion economics. Check tracking, lead quality, landing page, offer and data volume before adding a negative.

Expand

Relevant searches producing strong qualified leads, conversion value or useful new demand. Consider keywords, ad copy, landing pages or extra budget.

For exclusion mechanics, use Vylino’s dedicated Google Ads Negative Keywords Guide.

Use the report for negative-keyword mining—carefully

Google explicitly recommends the Search Terms Report as a source of negative-keyword ideas. If a query is clearly unrelated to the business, it can be excluded so similar budget is not spent repeatedly.

But negatives should solve a specific intent problem. A relevant commercial term that has not converted after a handful of clicks is not automatically a negative-keyword candidate.

Default behavior matters: when negatives are added directly from the Search Terms Report in Search campaigns, Google adds them as negative exact by default. Broader negative match should be chosen deliberately.

Use the report to find new keyword opportunities

Some high-quality queries deserve stronger control and visibility in the account.

07
Promote repeated high-value queries into explicit keywords.

This can make reporting, messaging and campaign organization clearer, even though broader matching may already reach them.

08
Group opportunity by intent—not just exact wording.

Several variants may reveal one commercially important theme rather than five separate keyword ideas.

09
Check whether the opportunity deserves its own landing page.

New keywords are useful only when the website has a relevant destination.

10
Check whether another campaign already owns the intent.

Avoid duplicating demand across campaigns without a clear reason.

How Search Terms analysis changes with broad, phrase and exact match

Google’s current positive keyword matching is meaning-based, not purely literal.

Keyword match type What to expect in Search Terms Review focus
Broad Wider related searches; Google can use additional contextual signals. Intent quality, conversion data, negative themes and whether Smart Bidding is receiving good signals.
Phrase Queries that include the meaning of the keyword, often with more specificity. Whether expanded variations remain commercially relevant.
Exact Queries with the same meaning or intent as the keyword—not necessarily identical text. Do not assume “exact” means the search text must be character-for-character identical.

Google currently recommends Smart Bidding with all match types and notes that broad match provides the widest set of searches for automated bidding to learn from.

Use customer language to improve responsive search ads

Search-term data can reveal how customers describe their problem differently from the language used on your website.

Benefit language

If qualified customers consistently search “same-day”, “near me”, “for manufacturers” or another modifier, consider whether your ads should address that need.

Objection language

Searches involving cost, timeline, maintenance, contract or support can reveal what buyers need clarified before contacting you.

Industry language

Repeated vertical-specific searches may justify dedicated ad messaging or landing-page proof.

Location language

Real queries show whether customers search city names, neighborhoods, “near me”, remote or nationwide terms.

Do not paste search terms mechanically into ads. Use them to understand the customer’s intent and write clearer messaging.

Use Search Terms to improve landing pages

Google explicitly lists landing-page ideas as one benefit of the Search Terms Report. The report can reveal gaps between what customers expect and what the destination page explains.

Query pattern Possible landing-page action
“website development cost for small business” Add clear pricing drivers or link to a relevant cost guide.
“website maintenance company” Route to maintenance rather than a generic development page.
“shopify developer for clothing brand” Add platform/industry proof if this is a priority segment.
“website developer near me” Clarify service area, remote process and local proof where genuine.

If post-click performance is weak, use the Landing Page Conversion Optimization guide.

Use the report to reallocate budget—not just remove waste

Search-term analysis should identify where money deserves to move, not only where it should stop.

11
Find high-value query clusters constrained by budget.

If qualified CPA/ROAS is strong, more spend may be justified.

12
Find expensive weak-intent clusters.

These may need negatives, tighter structure, different match choices or reduced budget.

13
Compare services by downstream quality.

One query group may create fewer conversions but much stronger customers.

Search-term reporting in Performance Max

Google’s current Search Terms Report documentation also references Performance Max. The report can help identify terms associated with conversions and deepen understanding of campaign performance.

However, Performance Max uses broader inventory and automation than standard Search campaigns. Use query information diagnostically and apply negative controls conservatively; Google’s current PMax guidance discourages unnecessary restrictive exclusions.

Use Search Terms Insights when query-level data is too fragmented

Search Terms Insights analyzes search demand and groups it into categories and subcategories with performance metrics. Google says these categories can include low-volume queries that are not individually exposed in the Search Terms Report.

For responsive search ads, Google also provides search-term insights around the top search categories where an ad appeared, which can inform creative updates and keyword expansion.

See Search Terms Insights for responsive search ads.

Three reporting mistakes caused by privacy and conversion lag

“Search Terms spend does not equal campaign spend.”

Some query activity is not individually exposed because of privacy thresholds.

“Insights and report conversions differ slightly.”

Google says processing and conversion lag can create differences between the two surfaces.

“No visible term means no query existed.”

Low-volume searches may be grouped into Insights rather than shown individually.

How often should you review the Search Terms Report?

Account stage Suggested review Main objective
New / small-budget campaign Several times in the first week, then weekly. Catch obvious irrelevant spend quickly.
Stable Search campaign Weekly or biweekly depending on volume. Query quality, new opportunities and changes in demand.
Large account Use filters, categories and meaningful spend thresholds. Focus human review where decisions can materially affect results.
After a major keyword/match change Increase review frequency temporarily. Understand how query mix changed.

Useful analysis filters for busy account managers

14
Cost above threshold + zero qualified conversions.

Find expensive queries that deserve investigation.

15
Conversions above threshold.

Find query patterns worth expanding or supporting with dedicated content.

16
High conversion value / cost.

Find profitable ecommerce/value-based themes.

17
Query contains a recurring modifier.

Analyze terms such as price, near me, company, agency, service, repair or industry names according to the business.

Worked example: Vylino-style website-development campaign

Imagine one campaign has the keyword website development company and these Search Terms:

Search term Decision Reason
website development company for manufacturers Expand Strong commercial/industry intent; consider industry-specific proof or page.
website development internship Exclude Recruitment intent, not buyer intent.
website development cost india Investigate / expand Decision-stage search; can link to Vylino’s existing cost content and commercial CTA.
website developer for ecommerce store Expand Clear commercial platform/use-case intent.
learn website development free Exclude Training/free intent for a service campaign.
affordable website development company Investigate Commercial intent; do not exclude merely because CPC or close rate differs.

The same report has therefore produced negative keywords, landing-page ideas, content ideas and campaign expansion opportunities.

Search Terms Report mistakes that lead to bad decisions

Adding negatives after one click

Relevant search intent may need more data or a better page.

Looking only at CTR

High engagement can still produce poor customers.

Ignoring CRM outcomes

Google Ads conversions may not reflect real sales quality unless offline outcomes are connected.

Creating a keyword for every query

Modern match types already cover related intent; add explicit keywords when control/reporting/value justifies it.

Assuming the report shows every query

Privacy thresholds mean some low-volume terms are not individually visible.

Using the report only for negatives

You miss creative, landing-page, service and budget opportunities.

Search Terms Report analysis checklist

18
Use a date range that respects conversion lag.

Do not judge recent queries before delayed conversions have had time to arrive.

19
Add the Keyword and Match Type columns.

Understand what account input produced each query.

20
Sort meaningful spend first.

Focus analysis where action can change results.

21
Classify intent.

Commercial, local, informational, irrelevant, jobs, support, comparison or another business-specific category.

22
Check qualified conversions / value.

Use actual business outcomes where possible.

23
Decide exclude, investigate, keep or expand.

Avoid leaving important spend without an explicit next step.

24
Turn repeated customer language into page/ad improvements.

Search Terms should improve the entire acquisition system, not only the keyword list.

Methodology and current Google guidance

This guide uses current Google Ads documentation for search-term reporting, keyword matching and Search Terms Insights. The key distinction is that query-level reporting and intent-level insights complement each other.

Google currently states that the Search Terms Report shows significant searches that triggered ads, includes Keyword and Match Type context, can surface creative and landing-page ideas, omits some low-volume query detail for privacy, and may show conversion totals that differ slightly from Search Terms Insights because of processing/lag. Search Terms Insights groups queries into intent categories/subcategories and can account for lower-volume searches without revealing individual private queries.

Want Search Terms data turned into actions—not another spreadsheet?

Vylino can review real query data alongside conversion quality, campaign structure and landing pages, then separate wasted intent from profitable demand. The result can include negative-keyword updates, new keyword themes, ad messaging changes, landing-page improvements and budget shifts based on actual searches.

Frequently asked questions

What is the difference between a keyword and a search term in Google Ads?

A keyword is what an advertiser adds to an ad group. A search term is the actual query a user enters that triggers the ad. One keyword can match multiple search terms depending on match type and Google’s matching systems.

Does the Search Terms Report show every query?

No. Google omits some low-volume search-term detail to meet data-privacy standards. Search Terms Insights can group lower-volume activity into broader categories without exposing individual queries.

How often should I check the Search Terms Report?

New or small-budget campaigns benefit from frequent early checks, then weekly or biweekly review can be appropriate depending on volume. Increase review frequency after major targeting or match-type changes.

Should every non-converting search term become a negative keyword?

No. A relevant query may need more data, better conversion tracking, stronger ad messaging or a more relevant landing page. Exclude when the intent is genuinely unwanted.

Can Search Terms help find new keywords?

Yes. Repeated high-value queries can reveal new keyword themes or demand clusters worth stronger control, dedicated ad messaging or a specific landing page.

What is Search Terms Insights?

It groups searches into intent-based categories and subcategories with performance metrics. It can include lower-volume demand that is not individually visible in the Search Terms Report.

Why do Search Terms Report conversions differ from Search Terms Insights?

Google says the two surfaces process conversions differently and conversion lag can cause slight differences.
